AI for business: start with one workflow

Your team does not need a mandate to use AI everywhere. It needs a clear boundary, a useful first task and someone responsible for the result.

Name the friction before choosing the tool

Look for a recurring task that is time-consuming, understandable and easy to review. Drafting an internal meeting summary or organizing a public set of research notes is a different risk from making employment, medical or financial decisions. Begin with work where a person can check the result before it affects someone else.

Agree on what must stay out

Before anyone pastes information into a tool, decide which data is permitted and which is not. Review the provider’s terms, retention settings and access controls. A convenient chat window is not permission to share client records, confidential plans or personal information.

  • Define approved tools and allowed information.
  • Name decisions that always require a human.
  • Write down who can approve a new use case.

Run a bounded trial

Choose one task and compare the current workflow with an assisted version. Track time spent, corrections required and the quality of the final output. Include the time taken to review and repair mistakes. If the assisted process merely moves work from writing to checking, you need to know that before expanding it.

Train for judgment, not just prompts

A useful training session lets people practice spotting missing context, unsupported statements and inappropriate disclosure. The person reviewing the output should have enough knowledge to challenge it. Give staff a clear way to report a problem without feeling that they are resisting change.

Expand only when the evidence supports it

NIST’s AI Risk Management Framework provides a voluntary structure for considering risks throughout the lifecycle of an AI system. For a small team, start with a named owner, a documented use case and regular review. Plainwright’s responsible AI adoption work centers on policy, training and a plan people can follow, not an assumption that automation is always the answer.
